Booking Terms and Conditions

Effective date: 30 September 2026
Review date: September 2027

Here’s the revised version. Items in [square brackets] are the only things left to fill in.

1. About these terms

These Terms and Conditions apply to memberships and bookings made with Motion Film Academy.

Your agreement is with Motion Film Academy (“the academy”, “we”, “us”), which owns the Motion Film Academy brand, takes all payments and provides the sessions through your local academy. Local academies are run by independent licensed operators on our behalf.

By making a booking, the parent or carer confirms that they have read and accepted these terms.

2. Monthly membership

The academy operates as an ongoing monthly membership rather than a fixed-length course. Students can join at any time, subject to availability.

Membership covers one weekly two-hour weekend session for the student’s group, following local school term dates. There are no regular sessions during school holidays.

Each membership year includes at least 36 sessions.

Places are limited and the academy commits staffing, venue and other resources based on the number of students enrolled. Membership continues from month to month until it is cancelled under clause 5.

3. Fees and payment

The membership fee is £85 per month, the same for all age groups.
It is an annual fee of £1,020 divided into 12 equal monthly payments, so the amount does not change in months that include school holidays.

Payment is by Direct Debit on the [1st] of each month. A place is not confirmed until the Direct Debit has been set up and the first payment has been received. Direct Debit payments are protected by the Direct Debit Guarantee.

If a student joins part-way through a month, the first payment is pro rata.

Cameras, sound and lighting equipment are included. Film Camps and any other extras are separately priced and optional.

If a payment fails, the academy will contact the parent or carer and try again.
If it remains unpaid after [14] days, the academy will suspend attendance until the account is up to date.

The academy will give at least one month’s written notice of any fee increase.
If you give notice to cancel in response, the increase will not apply to you before your membership ends.

4. Free taster session

Each new student may attend one free taster session with no obligation to join. The academy will hold a place for [7] days afterwards.

5. Cancelling your membership

Parents or carers may cancel at any time by giving one month’s written notice to cancel@motionfilmacademy.com.
Monthly fees remain payable until the end of the notice period, and no further payments will be taken after that.

Because the academy commits resources based on the number of enrolled students, fees already due for a month are normally non-refundable if a student stops attending during that month or the notice period. However, the academy may, at its discretion, provide a full or partial refund where circumstances justify this, particularly where the student’s place can be filled by another student.

Membership continues through school holidays, including the summer break, unless notice has been given. Because payments are spread over 12 months, notice is needed one month before you want payments to stop.

Where a student is unable to attend for an extended period for medical reasons, the academy may agree to pause or end the membership without further charge on receipt of reasonable evidence.

Nothing in this section removes any statutory consumer cancellation or refund rights.

6. Missed sessions

Fees are not refundable or reduced for sessions missed because a student is absent, including illness, holidays or other personal circumstances.

Where practical, the academy may offer a replacement session, but this is not guaranteed.

7. Cancellation shortly after booking

Where a booking is made online or away from the academy’s premises, the parent or carer has a statutory right to cancel within 14 days of booking. Any statutory cancellation rights that apply will be respected.

Where a parent or carer asks the academy to begin providing the service during an applicable cancellation period, the academy may be entitled to retain a proportionate amount relating to services already provided, where permitted by law.

8. Cancellation by the academy

The academy may cancel a session because of circumstances including:

  • Venue closure or unavailability.
  • Tutor illness or unavailability.
  • Serious health and safety concerns.
  • Severe weather.
  • Other circumstances outside the academy’s reasonable control.

Where the academy cancels a session, it will normally provide a replacement session.

If a suitable replacement cannot reasonably be provided, an appropriate credit or refund will be offered.

9. Changes to sessions

The academy may occasionally make reasonable changes to tutors, activities, equipment or session arrangements.

The academy will aim to deliver the service advertised at the time of booking.

Where a significant change means that the academy is no longer providing the service agreed, customers will retain any rights available to them under consumer law.

10. Student behaviour

Students must follow the academy’s Behaviour Policy and reasonable instructions from tutors.

Serious or persistent unacceptable behaviour may result in a student being removed from a session or asked to leave the academy.

Where a place is withdrawn because of serious or persistent unacceptable behaviour, the academy will stop taking further monthly payments and will consider any refund or outstanding payment fairly and in accordance with these terms and applicable law.

11. Safeguarding

The academy’s safeguarding policies and procedures apply to all students.

Parents and carers must provide accurate emergency contact information and notify the academy of any relevant changes.

12. Photography and filming

Filmmaking and photography are integral parts of the academy’s activities.

Photographs and video of students will be handled in accordance with the academy’s Photography and Filming Policy, applicable permissions and data protection requirements.

Where images or films are to be shared beyond the academy, for example at festivals or on social media, the academy will seek separate consent. Consent can be withdrawn for future use.

13. Health and safety

Students must follow reasonable health and safety instructions.

Parents or carers must provide information about any relevant medical, accessibility or other circumstances that may affect the student’s safe participation.

14. Equipment and property

Students are expected to take reasonable care of academy equipment, venue property and other students’ belongings.

The academy may seek reasonable compensation for deliberate or reckless damage, subject to applicable law.

15. Industry opportunities

The academy may introduce suitable students to agents, casting professionals or production contacts where genuine opportunities arise.
Introductions, auditions and work opportunities cannot be guaranteed.

16. Complaints

Parents or carers who have a concern should contact the academy using the contact details provided on the website.

Complaints will be handled in accordance with the academy’s Complaints Procedure.

17. Liability

The academy will take reasonable care in providing its services and maintaining a safe learning environment.

Nothing in these Terms and Conditions excludes or limits liability that cannot legally be excluded or limited.

18. Consumer rights

Nothing in these Terms and Conditions affects any statutory rights that cannot legally be excluded or restricted.

Where consumer law provides a customer with a right to cancel, receive a refund or obtain another remedy, that right will continue to apply.

19. Governing law

These Terms and Conditions are governed by the law of England and Wales.

20. Review and changes

These Terms and Conditions will be reviewed periodically and updated where necessary. If a change affects you, the academy will give at least one month’s written notice.
