1. Purpose
Photography and filmmaking are an important part of Motion Film Academy. Students will regularly appear in photographs, video recordings and films as part of their learning and creative work.
We take appropriate steps to ensure that this material is created, stored and used responsibly.
2. Permission
Parents or carers will be informed about how photographs and video of students may be used and, where consent is the appropriate lawful basis, will be asked to provide permission.
Permission will cover the purposes explained to the parent or carer and will not be assumed simply because a child attends the academy.
3. How student images and video may be used
Subject to the applicable permission or other lawful basis, student photography and video may be used for purposes including:
- Student filmmaking projects.
- Educational and assessment purposes.
- Student showreels or portfolios.
- The Motion Film Academy website.
- Academy social media.
- Promotional and marketing material.
- Public screenings or festivals where appropriate.
The academy will avoid publishing unnecessary personal information alongside images or video of students.
4. Student-created films
Students may appear in films created by other students as part of academy activities.
The academy will take reasonable steps to ensure that student-created material is handled appropriately and does not contain inappropriate, harmful or humiliating content.
5. Storage and security
Photographs and video containing identifiable students will be stored and handled securely.
Access will be limited to people who reasonably need it for academy, educational, safeguarding or agreed promotional purposes.
6. Withdrawal of permission
Where processing is based on consent, a parent or carer may withdraw that consent.
Withdrawal will not affect processing that has already taken place lawfully before consent was withdrawn.
The academy will make reasonable efforts to stop using material for future publication following withdrawal, subject to practical limitations and any other lawful basis that may apply.
7. Other photography and filming
Parents, visitors and students must not photograph or film other students inappropriately or publish identifiable images of other students without appropriate permission.
The academy may restrict photography or filming where necessary for safeguarding, privacy or other legitimate reasons.
8. Safeguarding
Any photograph or video that raises a safeguarding concern will be dealt with under the academy’s safeguarding procedures.
9. Data protection
Photography and video containing identifiable students is personal data and will be handled in accordance with the academy’s Data Protection Policy and Privacy Notice.
10. Review
This policy will be reviewed annually and whenever there are significant changes to the academy’s activities, technology or data protection requirements.
